Format Painter is a tool that duplicates formatting from one cell or range to another without copying the underlying data. The feature copies attributes such as font styles, colors, borders, fill colors, number formats, and alignment settings. Format Painter operates in two modes: single-use and continuous-use mode.
How to Access Format Painter
Format Painter appears in the Home tab on the ribbon in the formatting group. The icon resembles a paintbrush. You can locate it by navigating to the Home tab and scanning the toolbar for the brush symbol. Keyboard shortcut users can press Ctrl+Shift+C to copy formatting and Ctrl+Shift+V to paste formatting on Windows. On Mac, use Command+Option+C to copy formatting and Command+Option+V to paste formatting.
Steps to Copy Formatting to a Single Cell
To copy formatting to one cell, follow these steps:
- Select the cell containing the formatting you want to copy
- Click the Format Painter button in the Home tab
- Click the destination cell where you want to apply the formatting
- The formatting automatically applies, and Format Painter deactivates
Steps to Copy Formatting to Multiple Cells
To copy formatting to several cells at once, follow these steps:
- Select the cell with the formatting you want to replicate
- Double-click the Format Painter button to activate continuous mode
- Click each cell or drag across the range where you want to paste the formatting
- Press Escape or click Format Painter again to deactivate the tool
Differences Between Windows and Mac
Windows users access Format Painter from the Home tab using the brush icon. Mac users access the same tool from the same location in the Home tab. The keyboard shortcut differs between operating systems, with Windows using Ctrl+Shift+C and Ctrl+Shift+V while Mac uses Command+Option+C and Command+Option+V.
What Formatting Elements Does Format Painter Copy?
Format Painter replicates font name, font size, bold, italic, underline, font color, cell fill color, cell borders, horizontal alignment, vertical alignment, text wrapping, number format, and cell shading patterns. The tool copies all applied formatting attributes from the source cell to the destination cells.
Using Format Painter with Merged Cells
Format Painter works with merged cells by copying the formatting applied to the merged area. Select the merged cell containing the desired formatting, activate Format Painter, then click the destination cell or range. The formatting transfers to the target location regardless of whether the cells are merged.
Limitations of Format Painter
Format Painter does not copy cell comments or conditional formatting rules. The tool copies only direct formatting applied to cells. Conditional formatting must be copied through the Paste Special dialog using the format options available there. Cell comments require manual recreation in destination cells.
Using Paste Special for Advanced Formatting Control
Paste Special provides more granular control over which formatting elements transfer. Select the cell with the formatting you want to copy, press Ctrl+C on Windows or Command+C on Mac, select the destination cells, then press Ctrl+Shift+V on Windows or Command+Shift+V on Mac to open the Paste Special dialog. The dialog displays checkboxes for Numbers, Borders, Font, Fill, and Alignment, allowing you to select specific formatting attributes to paste.
Clearing Formatting from Cells
To remove formatting from cells while preserving data, select the cells, navigate to the Home tab, click the Clear button, then select Clear Formats. Clearing formatting removes all direct formatting and returns cells to the default format. The data in the cells remains unchanged.
