A dependent drop-down list is a set of lists where the selection in one list determines the options available in the next list.
Steps to create multiple dependent drop-down lists in Excel
Prepare your data
Organize the data in a table format. For example:Column A:
Category(Fruits, Vegetables)Column B & onward: Items corresponding to each category
Fruits Apples
Bananas
Oranges
Vegetables Carrots
Broccoli
Spinach
Define named ranges
Named ranges allow you to reference specific cells in formulas.Select the list of categories (e.g.,
Fruits,Vegetables) → Go to Formulas → Define Name → Enter a name likeCategoryList.Select the list of items for each category → Define a name that exactly matches the category name (no spaces). Example: The range for Fruits items can be named
Fruits.
Create the first drop-down list (primary list)
Select the cell where the first drop-down should appear.
Go to Data → Data Validation → Data Validation.
Choose Allow: List → Source:
=CategoryList→ Click OK.
Create the dependent drop-down list (secondary list)
Select the cell where the second drop-down should appear.
Go to Data → Data Validation → Data Validation.
Choose Allow: List → Source:
=INDIRECT(A1)
Replace
A1with the cell of the primary drop-down.
Test the lists
Selecting a category in the first drop-down automatically updates the second drop-down with relevant items.Extend to multiple dependent lists
Repeat the process for additional dependent lists. UseINDIRECTreferencing the immediate parent selection. For three levels:Level 1: Category
Level 2: Subcategory (dependent on Category)
Level 3: Product (dependent on Subcategory)
The formula in the Level 3 drop-down would be:=INDIRECT(B1)
Replace
B1with the Level 2 cell.
Notes for Windows vs Mac
The Data Validation interface is similar on both platforms.
On Mac, Formulas → Define Name may be under Insert → Name → Define depending on Excel version.
Example scenario
Primary list (Category): Electronics, Furniture
Secondary list (Electronics): TV, Laptop, Phone
Secondary list (Furniture): Chair, Table, Sofa
SelectingElectronicsautomatically updates the second drop-down to show onlyTV, Laptop, Phone.
This method ensures accuracy in data entry, reduces errors, and enhances efficiency in large spreadsheets.
