To edit conditional formatting in Excel, you can change the rules, ranges, or style of formatting applied to cells. Conditional formatting allows cells to change appearance based on values or formulas.
Steps to Edit Conditional Formatting
-
Select the Cells with Conditional Formatting
Click and drag over the cells you want to modify. The existing conditional formatting rules will apply to these cells. -
Open the Conditional Formatting Rules Manager
-
On Windows: Go to the Home tab → Conditional Formatting → Manage Rules.
-
On Mac: Go to the Home tab → Conditional Formatting → Manage Rules.
-
-
Choose the Scope of Rules
In the Rules Manager window, select "Current Selection" or "This Worksheet" from the drop-down menu to see the relevant rules. -
Select the Rule to Edit
Click on the rule you want to change. The options include:-
Edit Rule: Modify the formula, value, or criteria that triggers the formatting.
-
Delete Rule: Remove the formatting entirely.
-
Change Rule Order: Adjust which rules apply first if multiple rules overlap.
-
-
Edit the Rule Formula or Criteria
Click Edit Rule, then:-
Modify the formula used for conditional formatting.
-
Change comparison values (e.g., greater than 50, text contains “Completed”).
-
Adjust the applied range if you want to expand or shrink the selection.
-
-
Change Formatting Style
In the Edit Formatting Rule dialog:-
Select Font, Border, or Fill options.
-
Choose colors, font style, or cell borders.
-
-
Apply and Save Changes
Click OK in the Edit Rule window, then Apply and OK in the Rules Manager window. The cells will reflect your updated formatting.
Additional Tips
-
Multiple rules can overlap, so order matters; the top rule has priority.
-
Use formula-based rules for more advanced conditions, such as highlighting rows where a date is within the next 30 days.
-
Use Clear Rules under Conditional Formatting to remove all rules quickly from selected cells or an entire sheet.
Example
To highlight cells greater than 100 in a sales report:
-
Select the range
B2:B50. -
Go to Conditional Formatting → Manage Rules → Edit Rule.
-
Set Rule Type: "Format only cells that contain" → Cell Value → greater than → 100.
-
Choose a Fill Color like light green.
-
Click OK, then Apply.
