To wrap text in Excel,
select the cells you want to format, then click the Wrap Text button in the
Home tab's Alignment group. The text will automatically display on multiple
lines within the same cell when it exceeds the column width.
Methods to Wrap Text
Excel provides three primary methods for wrapping text in
cells.
Method 1: Using the Ribbon
- Navigate to the Home tab
- Click the Wrap Text button in the Alignment group
- The button toggles the wrap text feature on or off
- Select the cell or range of cells containing the text
Method 2: Using Keyboard Shortcuts
- Windows: Press Alt + H + W sequentially
- Mac: Press Command + 1 to open Format Cells, then
select the Alignment tab and check Wrap Text
Method 3: Using Format Cells Dialog
- Right-click the selected cells
- Choose Format Cells from the context menu
- Click the Alignment tab
- Check the Wrap Text checkbox
- Click OK to apply
Manual Line Breaks within
Cells
You can insert manual line breaks within a cell by
pressing Alt + Enter (Windows) or Control + Option + Return (Mac) at the
position where you want the text to break. This method gives you precise
control over where text wraps, unlike automatic wrapping, which adjusts based
on column width.
Adjusting Row Height for
Wrapped Text
Excel automatically adjusts row height when you apply text
wrapping, but you can manually control the dimensions.
Automatic Adjustment: Double-click the boundary between row numbers to
auto-fit the row height to display all wrapped text.
Manual Adjustment:
- Position your cursor on the boundary between row
numbers
- Drag up or down to set custom row height
- The height adjusts in increments of 0.75 points
Common Issues and
Solutions
Text Not Wrapping Properly
The cell appears to have wrap text enabled, but text
remains on one line. This occurs when row height is manually set too small.
Reset the row height by double-clicking the row boundary or selecting Format
> Row > AutoFit Row Height.
Wrapped Text Gets Cut Off
Text disappears when the column width decreases below a
certain point. Increase the column width by dragging the column boundary or
double-clicking it for auto-fit. Merged cells prevent proper text
wrapping—unmerge cells before applying wrap text.
Wrapping Text in Multiple
Cells Simultaneously
- Select all target cells using Ctrl + Click (Windows)
or Command + Click (Mac) for non-adjacent cells
- Hold Shift and click for adjacent cell ranges
- Apply wrap text using any method described above
- All selected cells receive the formatting
simultaneously
Removing Text Wrapping
To remove text wrapping, select the cells with wrapped
text and click the Wrap Text button again to toggle it off. The text returns to
single-line display, and row height may need manual adjustment afterward.
Text Wrapping with
Formulas
Formulas that return text values respect the wrap text
setting of their containing cells. The CHAR(10) function inserts line breaks
within formula results on Windows, while CHAR(13) works on Mac systems. Combine
this with wrap text enabled for controlled multi-line formula outputs.
Performance Considerations
Wrap text affects spreadsheet performance when applied to
thousands of cells. Excel recalculates row heights continuously as data
changes, which slows down large worksheets. Limit wrap text to necessary cells
and consider using manual line breaks for static text to improve performance.
